One of the advantages of on-location headshot photography is that a professional studio can be created inside an ordinary workplace. A large photography studio is not usually necessary—but the photographer does need enough clear space to position the backdrop, lighting, camera, and person being photographed safely.

For most professional headshot sessions, Darian Drake Photography requires a minimum cleared area of approximately 7 feet by 7 feet, along with a standard ceiling height. More room is always preferable, particularly when a company would like portraits that extend beyond the traditional head-and-shoulders composition.

What Does a 7-Foot-by-7-Foot Space Include?

The requested measurement refers to usable floor space rather than the total size of the room. Furniture, storage boxes, desks, and other obstacles should be moved outside the photography area before the setup begins.

Within that space, the photographer must accommodate:

  • A professional backdrop

  • Studio lighting and light stands

  • The employee being photographed

  • The camera and photographer

  • Safe separation between the equipment and subject

 

Additional space makes it easier to adjust the lighting, photograph different poses, and create a greater variety of compositions.

Photography Can Express Your Brand Personality

Including employees in your visual brand does not mean every company should use the same style of headshot. The photography should support the qualities the organization wants to communicate.

A law firm may prefer refined lighting, formal clothing and a clean, understated background. A creative agency might choose more expressive portraits, varied poses or an environmental setting. A healthcare practice may benefit from warm expressions and approachable body language.

Lighting, background colour, composition, clothing guidance and expression all contribute to the message. When these decisions are made intentionally, team headshots become a recognizable part of the company’s wider visual identity.

Consistency is equally important. Headshots do not need to make every employee appear identical, but they should feel as though they belong to the same organization. Similar lighting, framing, image proportions and background treatments create a cohesive presentation while still allowing each person’s personality to remain visible.

What Kind of Room Can Be Used?

When photographing company headshots in Whitby and throughout the Durham Region, we can often transform an existing workplace room into a temporary studio.

Suitable locations may include:

  • Vacant offices

  • Open areas within a reception space

  • Warehouses or larger operational spaces

 

The room does not have to be visually attractive when a studio backdrop will be used. The existing walls and décor generally will not appear in the finished photographs. What matters most is having sufficient clear floor space and ceiling height.

Why Does Ceiling Height Matter?

Professional lighting is normally positioned above the subject and angled downward. A standard ceiling height provides enough room to place and adjust the lights correctly.

Low ceilings, hanging fixtures, ceiling fans, pipes, and other overhead obstructions can restrict where equipment is placed. If you are uncertain about a proposed room, photographs and measurements can be shared with the photographer before the session.

When Is More Space Required?

A 7-foot-by-7-foot area is suitable for many conventional headshot setups, but wider portraits may require a larger working area.

 

Additional space may be needed for:

  • Three-quarter-length or full-length portraits

  • Seated portraits

  • Environmental photographs showing the workplace

  • Multiple backdrops or lighting arrangements

  • Small group photographs

  • Images involving larger poses or movement

 

Discussing the desired photographs before the session allows the photographer to recommend an appropriate room and arrive with the right equipment.

Preparing the Room Before Headshot Day

Whenever possible, move tables, chairs, and other furniture before the photographer arrives. This keeps setup efficient and reduces disruption to the workday.

The selected room should also remain reserved for the duration of the session. Employees can then arrive at their scheduled times without meetings, deliveries, or regular workplace activity interrupting the photography.
